Spring Island Club, a beautiful private club, located in Okatie, South Carolina, is currently seeking a qualified candidate for a Listing Coordinator position.

General Definition of Work:


The responsibilities for the Listing Coordinator include, but are not limited to, coordinating, and maintaining all MLS and web content, contracts, schedules, appointments, calendars, marketing material, distributing leads, answering phones and handling walk-ins and database management. Working closely with the broker and all agents, maintaining client contact and working with vendors and/or outside agents to schedule appointments and showings. Organization of Agent on Duty calendars

Essential Functions:


The following functions are intended only as illustrations of the various types of work performed. The omission of specific duties does not exclude them from the position if the work is similar, related or a logical assignment to the position.

  • Gather and prepare listing information to include but not limited to agreements, property disclosures, waivers, MLS forms, service providers, owners' expenses, property research, CMAs and tax information. Creating listing packets for the owners with listing procedures.
  • Request, receive, and organize all required documents related to a property, such as floor plans, site plans, elevation certificates, plats, and any HRB pertinent information, such as variances. Files are kept digitally and hard copies in a central location.
  • Proof all paperwork to ensure MLS compliance and uploading documents to MLS.
  • Responsible for ordering, scheduling and managing photos, lockbox installation and removal, any key duplicates, bush hogging/mowing/view corridors if needed, and other miscellaneous tasks. Help provide support for any necessary staging.
  • Creating, publishing and printing brochures for all properties. Writing descriptions and verifying accurate information. All brochures are printed in house and no longer outsourced.
  • Manage website and MLS online properties. Uploading pictures, writing descriptions for online presence, and inserting virtual tours. Must have Publisher knowledge to edit pictures and website coding.
  • Assist in all eblast sent to clients, realtors and home owners.
  • A liaison between agents, sellers, buyers, outside agents, property managers, attorneys' office, and any party that may be related to a transaction.
  • Database management. Entering sales activity into the database and tracking Real Estate reports, such as the Sales Report, Property Showings report, Lead-Tour Report, a master database, Listing spreadsheet, an appraiser sales report.
  • Providing listing reports to property owners on current activity and showings of their properties. Collecting online data and managing touring information in BrightDoor.
  • Preparing listing modifications (Price Changes, Withdrawals, Date Changes).
  • Creating Tour maps of each listing and having them readily available for agents.

Knowledge, Skills and Abilities:


Familiarity with DocuSign, Dropbox, Microsoft Publisher, Word, Excel, BrightDoor, MLS, Adobe PDF

Physical Requirements:


This work requires the regular exertion of up to 10 pounds of force and frequent exertion of up to 25 pounds of force; work regularly requires sitting, speaking, or hearing, using hands to finger, handle or feel and repetitive motions and occasionally requires standing, walking, stooping, kneeling, crouching, or crawling, reaching with hands and arms, pushing or pulling and lifting; work has no special vision requirements; vocal communication is required for expressing or exchanging ideas by means of the spoken work; hearing is required to perceive information at normal spoken word levels; work requires preparing and analyzing written or computer data, using of measuring devices and observing general surroundings and activities; work has no exposure to environmental conditions; work is generally in a moderately noisy location (e.g. business office with typewriters and /or computer printers, light traffic).
